The right space

It is important to consider the space or physical environment in which group meetings and workshops are held. The right space is a venue that is:

  • Safe and not intimidating (i.e hospital)
  • A relaxed setting
  • Mutually accessible (i.e accommodates the needs of all participants including those with disabilities)
  • Appropriate for transport and parking needs

Tips for finding the right space

  • Ask members of the community for ideas about where you can meet.
  • Ask if there are cultural factors that need to be considered (e.g. who needs to be there, whether you should engage different individuals/groups separately etc).
  • Ask people what their access needs are. Access needs can be diverse and includes physical access (e.g. ramps, lifts, toilets, wide doors and corridors etc) as well as communication needs, transportation, heating/cooling, and ability to accommodate therapy animals or support person. This resource may help you to consider access needs.
  • Consider a venue outside the clinical environment, which may be re-traumatising for some people.

Other considerations for choosing the right space includes any additional items or equipment that might be required such as:

  • Access needs
  • Computer access
  • Tele/video conference system
  • Microsoft Teams access
  • Whiteboard
  • Projector
  • Microphone
  • Recording options
  • Access to toilets (including disability and gender neutral toilets)
  • Tea/coffee making facilities

Here are some ideas of spaces available in the community which may be appropriate, mutually accessible venues to conduct meetings and workshops. Keep in mind, a room hire fee may be applicable.

Metro North have a number of non clinical spaces available within each campus that could be utilised for workshops and meetings.
