Managing the roles within your organisational unit

If you manage a business unit, myHR Establishment gives you tools to manage the structure of your team and positions within it. If you’re in a support role, you can use myHR Establishment to access processes and forms for managing staff.

    What’s establishment management?

    Establishment management is about managing the structure of organisational units and the positions within them.

    Organisational units

    Organisational units (sometimes called ‘org units’) are divisions, departments, service deliveries, business units or work units within Metro North Health. An org unit has to exist before positions within it can be assigned. All org units have managers (or ‘chiefs’), who manage staff and approve forms and processes for that unit.

    Positions

    Positions are work roles within organisational units. One or more employees can hold a particular position.

    Establishment reports

    Establishment reports are accessed in the Reports tile on the myHR home page within the Business or Manager Support tile row. They give you up to date information to help you plan for and manage the unit, its positions and employees. Which reports you can access, depends on your role.

    Establishment reports include:

    • Org Unit Chief Report—details of chief arrangements for organisational units.
    • Position Employee End Dates Report—a summary of employee and position end dates.
    • Position Information Report—information about positions in your organisational unit.
    • Position/Employee Report—detailed reporting of all positions, their attributes and the employees assigned to them.
    • Position Modification Report—changes made to a position.
    • Substantive/Actual Report—details the substantive and actual holders of positions.
    • FTE Variations Report—provides a summary and details of FTE variations for positions.
    • Vaccination Report—the mandatory vaccinations assigned to positions and employees, with profile match up.
    • Concurrent and Aggregate Report – details those employees that are engaged in multiple employment engagements within Queensland Health
    • Employee changes Report – summary data displaying employee movements, commencements and separations within a specified defined period.

    Why is this important and what’s my role in this?

    myHR Establishment helps you manage the roles in your organisational unit, so it operates effectively. It’s the avenue for creating or changing positions as you need.

    myHR Establishment enables you to:

    • search and/or view organisation units, positions and employee profiles
    • create, change, move or set end date on organisational units
    • create, change, copy, set end date or update qualifications on positions
    • access ‘Reports’ to get detailed information about positions and employees.

    What do I need to do?

    Make sure you have the appropriate level of access to the ‘Establishment’ tile in myHR. If you’re the manager of an org unit (known as a ‘chief’ in myHR), you’ll automatically be given ‘Manager Self Service (MSS)’ access to that unit. If you’re in a manager support or business support role, you’ll need to apply for the appropriate myHR access, so you can view and maintain the org unit and positions relating to your role.

    Making an organisation maintenance request

    You can create or make changes to org units through ‘Organisation Maintenance Requests’ (OMR). It gives you a chart of the organisational structure that includes organisational units, positions and employees. Note that the chief of the org unit should ideally sit one level above the org unit that they manage.

    Also note that when you initiate an OMR to create a new org unit, you need to keep the end date as the default date of 31.12.9999.

    Making changes to positions

    Use ‘Position Maintenance Requests’ (PMR) to create, delimit or change positions as you need to. When making these requests, note the following:

    • If you’re initiating a PMR to create a new position, make sure you complete the appropriate fields. If a field is left blank that is a fundamental aspect to create the position, excluding the multi D field, the PMR will be returned to you to be completed.
    • A position can only be viewed in myHR from the start date
    • If you need help completing the PMR, you can call or email the myHR Establishment team.
    • Temporary positions have an end date, set by the business. If the position isn’t extended before that date, the position will delimit and be removed from the myHR organisational structure. The end date can’t be extended once the position is delimited. You’ll have to create a new position to replace it.
    • An employee can’t be extended in a position past the end date.
